Meeting and Event AV on a budget

I was recently tasked with finding an affordable option for AV equipment with our meetings and events around the country. Given the economy and rising costs, paired with budget cuts, it was time to get creative, which is what I do best. I am always looking at a better way of doing things and saving my company money. I started by reaching out to my peers to see what is tested and true. Being a meeting planner, it's always best to stay connected with others in the industry. I kept hearing about the Owl 3 state for virtual events and I wondered if it would work for our in person events as well.

Let me back up by saying most of our events had be hybrid (virtual and in person), so it would be a nice bonus to find a way to do both without hiring an AV company, which can be costly. I do want to point out that while I plan events, I only know the basics when it comes to AV and tech. Basically, enough to quote and bid it out but not the actual production side of making it all happen. Most planners do not, hence, why there are AV companies and they can charge so much (it's very complicated and ever changing tech). That said, I needed something that was going to be easy for my team to set up and travel with. I must say, I was completely impressed when looking into the OWL meeting system at how affordable it was considering AV for one event can run you $20k easily for a small setup. Note: This would not work or replace AV for a large scale production of hundreds and thousands of attendees. But if you are looking for something that would work for less than 100 people, this may save you some serious money over all. This is also a perfect setup for an office and daily meetings or conferences calls.

We bought two Owl's for the speakers, sounds and video, so we could get multiple views using its AI software that picks up who is talking. We also purchase the expansion mic to pick up audio for the main stage speaker and a single dedicated camera for them.

The video and system also works with most of your video call systems like zoom, go to meetings, etc. Now you may be thinking, how do people in the room see the speaker or presentation. Well we opted to use TV's instead of screens so we would not have to rent from anyone. This seemed to be the most cost efficient way of setting up a full room AV for our group of 50. The OWL system is so small and you can purchase a hard carrying case where it all can be stored securely. You can then either ship it in or travel with it on the plane as a carry on.


A far as TV's, if you have not seen the new LG StandbyMe TV's, you are missing out.
